Director, Adult Patient Operations

Job Description

Reporting to the Associate Vice President, the Director, Adult Patient Operations works in close alignment with the Vice President of Ambulatory Care Operations and Senior Physician Leadership. The Director, Adult Patient Operations assumes additional responsibility and oversight in relation to the Adult Patient scheduling including direct oversight of Protocol scheduling Operations. The Director provides oversight, input and work in ongoing process improvement and personnel related matters.

Serving as the liaison for operational issues, the Director, Adult Patient Operations is tasked with developing and implementing strategic plans and clinical growth initiatives across scheduling in partnership with the Assoc Vice President, Patient Operations. The Director will provide management and programmatic oversight in support of research and operational missions specific to scheduling and other strategic planning initiatives to support operational growth.

  • Maintain and regularly report out on the financial portfolio of operating, grant, clinical trial and discretionary/gift accounts

  • Prepare and monitor operating budgets, identify, and address budget variances monthly

  • Assess productivity reports and calculate provider bonuses.

  • Manage and provide oversight of expenses, departmental reimbursement, and invoices

  • Track outpatient sessions, maintain accurate clinical effort reports and process med-fees

  • Accountable for monthly review of the BW MedFees and clinical hour utilization. This will require direct communication with providers and BW administrative counterparts to adjust as necessary to adhere to contractual obligations

  • Participates in regular P&L analysis across all Disease Centers and Clinical Programs and propose recommendations to Senior Administrative Leadership for practice/service adjustments, enhancements, or reconfiguration

  • Serve as primary point of contact in resolving staff and care delivery issues that arise

  • Partner with Clinical and Nursing Directors across all service delivery lines

  • Participate and build quality assurance project teams

  • Routinely review template utilization data and adjust clinical templates as appropriate

  • Maintain all Master Schedule Templates and implement changes when necessary

  • Communicate and share information regularly with clinical care teams, Yawkey operations and scheduling

  • Facilitate communication and build rapport across Medical Oncology, Surgical Oncology, and Radiation Oncology

  • Routinely review patient feedback with Clinical/Disease Center Leadership and adjust processes as appropriate

  • Assess and provide expertise in disease center operations for other departments as advised by the Senior Director

  • Updates Administrative Director training materials and reporting catalogue in shared team file

  • In partnership with the Sr. Director, attends and participates in all inter-institutional disease center administrative meetings to provide guidance and consistency across all clinical areas

  • Serve as conduit for Clinical/Disease Center Leadership with DF/BWCC, Clinical Planning and Network Operations, and all Satellite and Affiliating Organizations to ensure alignment of vision and strategic initiatives and collaboration

  • Routinely monitor and address new patient access metrics

  • Review all Clinical Statistics Reports and report out to Clinical/Disease Center Leadership on annual clinical growth and alignment with Institutional goals

  • Establish and maintain rapport with appropriate Development contact and stay apprised of gift intention

  • Collaborate with Marketing and Communications on new service lines or research developments

  • Facilitate patient and provider symposiums

  • Oversee and execute new programs and service lines

  • Partner with the Senior Director to ensure alignment of Disease Center, Yawkey, Chestnut Hill and Facilities initiatives

  • Establish, implement, and monitor processes and procedures for patient access and satisfaction to ensure excellence

  • Effectively utilize existing resources to best meet the needs of patient and provider satisfaction

  • Monitor a variety of clinical metrics/reports to ensure efficiency, performance, and compliance

  • Communicate and support Clinical/Disease Center in all technical upgrades and system updates

  • Participate in the suggestion and development of new technologies and workflows to improve the patient and staff experience

  • Formally request data from DF Strategy/ Finance office biannually to consider areas of growth opportunities within the New England community. This will be a formal presentation to Senior Director and VP of Ambulatory Clinical Operations in consideration of alignment of disease center operations to growth initiatives

  • Take an active leadership role in the strategic planning for the new inpatient hospital and future ambulatory collaborations with BI. This will include close collaboration with the Sr. Director of Disease Center Operations and Sr. Director of Scheduling Operations and Capacity Management to allocate clinic space

  • Participate in efforts to identify gaps in clinical services, staffing level analyses, and will serve on various workgroups and committees

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED: 

  • Exceptional financial acumen, including knowledge of research grants and contracts, and demonstrated active leadership in resource allocation

  • Exemplary ability to coordinate and balance complex projects and competing deadlines across various areas of responsibility

  • Proven ability to relate well to and work effectively with all levels of the organization including faculty, clinical staff, and front desk personnel

  • Excellent interpersonal and negotiation skills

  • Proven ability to collaborate with faculty on all aspects of operations, including oversight of clinical and administrative staff, departmental workflows, operating and discretionary budget resource allocation, clinic and office space allocation, day-to-day operations, and strategic planning

  • Exemplary customer service skills

MINIMUM JOB QUALIFICATIONS:

This role requires a bachelor's degree is required, with a master's degree (MBA, MPH, MHA) preferred. 10 years of experience in hospital administration, preferably in an academic setting, is required, along with previous managerial or supervisory experience. Preferred qualifications include 4 years in an Administrative Director, Disease Center Operations role, with documented success in all aspects of the role and a proven ability to establish strong working relationships with institutional leadership.

 

SUPERVISORY RESPONSIBILITIES:

Minimum 5 direct reports and 20 indirect/administratively responsible.

The hiring range is based on market pay structures, with individual salaries determined by factors such as business needs, market conditions, internal equity, and based on the candidate’s relevant experience, skills and qualifications.

For union positions, the pay range is determined by the Collective Bargaining Agreement (CBA).
