REGISTRATION SPECIALIST

JOB SUMMARY

Performs receptionist duties for a clinic, physician's office, or similar medical facility. Job Duties: Greets and registers patients or other visitors, informs staff of patients' arrival, and directs patients to appropriate department or examination room. Gathers and updates patient contact or other personal information. Collects and inputs patient insurance information and verifies active coverage or eligibility. Collects co-pays or other fees due to the facility. Answers and transfers phone calls, schedules appointments, arranges for referrals, or relays messages. May perform occasional clerical duties, such as data entry, filing, or photocopying; clerical duties may require experience with medical records or electronic health record systems. Experience and Education: Performs work under direct supervision. Handles basic issues and problems and refers more complex issues to higher-level staff. Possesses beginning to working knowledge of subject matter. Typically requires a high school diploma and 0 to 1 years of experience. Reports to supervisor or department lead. ESSENTIAL FUNCTIONS

• Answers, screens, and routes all incoming calls professionally in a timely manner, using ADIET, functioning as a central communication source for the clinic, patients, and external sources.
• Uses computer to enter and retrieve data, to create and modify documents, and to schedule appointments for clinicians and doctors maintaining parameters of provider schedules and following clinic standards and guidelines. 
• Provides superior ongoing patient satisfaction and customer service.
• Proficient in Electronic Health Record (EHR) applications.
• Accurate interview and registration of new patients as well as updating demographic, guarantor, and insurance information on established patients accurately into EHR.
• Obtains signature(s) of patient and/or responsible parties on consent, insurance and payment policies and procedures with every visit
• Collects and scans insurance cards or completed insurance forms from patients.
• Collects co-payments, co-insurance amounts, and/or time of service payments at the time of check-in.
• Ensures superior ongoing patient satisfaction and customer service.
• Makes appointment reminder calls.
• Secures confidential items nightly, including EHR, paper Medical Records.
• Completes nightly deposit.
• Maintains phone system including message retrieval, and controls day and night mode functions.
• Maintains confidentiality of all personnel and patient care and relations information.
• Actively participates in Strategic Quality Management for the department and organization. Actively participates in Customer/Guest Relations and Mandatory Education programs.
• Must be free from governmental sanctions involving health care and/or financial practices.
• Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital, department and clinic policies and procedures.
