Working at Lake Charles Memorial Health System | Great Place To Work® Business Office Administrative Assistant DESCRIPTION OF POSITION: The Administrative Assistant assumes responsibility for the organization and clerical activities for the department served. Assists in the planning, directing, and coordinating of activities and meetings. Prepares necessary agenda and minutes for the department served. Helps in the other financial departments as requested by supervisor. RESPONSIBILITIES AND DUTIES: The Administrative Assistant coordinates auditor requests as well as maintains department schedule by maintaining calendars for department personnel; Arrange meetings, conferences, teleconferences, and travel. Facilitate orientation of new employees and process vendor invoices for payment, ensuring accuracy and validity of payment. Develops and maintains electronic training documents and keeps a filing system to maintain records for the department in a way in which they can be easily retrieved. Prepare forms, files, spreadsheets that are necessary for the daily and ongoing operation of the entire department. Collect and process payroll data and reports and ensure all employee information is kept confidential at all times. Writes clearly and informatively using correct spelling and grammar all while varying writing style to meet needs. Consistently monitors assignment to ensure that all steps necessary to assist the Team with achieving its goals have been taken. Documents all information in the System following the Clear Concise Consistent method. Appropriately prioritizes work queue in order to work highest priority first based on assigned subjects. Properly utilizes productivity tracking mechanisms. Works at or above the weekly set productivity standard and completes tasks in a timely manner. The incumbents may be requested to perform job-related tasks other than those stated in this description. EDUCATION AND WORK EXPERIENCE High school graduate or GED certificate. At least one year experience in Healthcare or related field preferred. Adequate keyboarding skills( 40 words per minute typing rate); Basic computer skills. Strong organizational and communication skills, including ability to discuss medical issues. Negotiation skills including assertiveness and being proactive. Physical Demands/Work Environment Work requires light duty lifting. Must be able to remain in a stationary position 50% of the time. Constantly operates a computer and other office machinery such as calculator, copy machine, and computer printer. Must be able to exchange accurate information with patient, family, peers and medical personnel.
